Effective Date: 03 October 2026
Last Updated: 03 October 2026
This Cancellation & Refund Policy applies to bookings made directly with Alpenglow Tours & Travels.
Cancellation and refund eligibility depends on the cancellation date, services already confirmed, supplier commitments, non-refundable components and circumstances affecting the booking.
1. Cancellation Request
All cancellation requests must be communicated in writing through:
- email;
- WhatsApp; or
- another written communication channel acknowledged by Alpenglow Tours & Travels.
The effective cancellation date is the date on which Alpenglow receives the written cancellation request.
2. Standard Cancellation Schedule
Unless a particular package, hotel, activity, fixed departure or promotional offer carries a different cancellation condition disclosed before booking, the following cancellation schedule applies:
30 days or more before tour commencement
10% of the total package value
15–29 days before tour commencement
25% of the total package value
8–14 days before tour commencement
50% of the total package value
0–7 days before tour commencement
100% of the total package value
No-show
100% of the total package value
Where a separately disclosed supplier cancellation condition applies to a specific booking component, that condition may apply to that component.
3. Non-Refundable Components
Certain services may become wholly or partly non-refundable after confirmation, including where applicable:
- government permit or processing charges;
- non-refundable hotel bookings;
- airline tickets;
- railway tickets;
- helicopter bookings;
- activity reservations;
- special-event bookings;
- guide arrangements;
- committed vehicle costs; and
- other services disclosed as non-refundable before booking.
Where only one component is non-refundable, the remaining package will not automatically be treated as entirely non-refundable.
4. Cancellation by Alpenglow Tours & Travels
If Alpenglow Tours & Travels cancels a confirmed booking for a reason within its reasonable operational control and the customer does not accept an alternative arrangement, amounts received for services that will not be supplied will be refunded.
Traveller cancellation charges will not be applied to such cancellation.
5. Fixed Departure Cancellation
Where a Fixed Departure has been expressly offered subject to a disclosed minimum operating requirement and that requirement is not achieved, Alpenglow Tours & Travels may cancel or reschedule that departure.
The customer may select:
- another available departure;
- another package mutually accepted by the customer; or
- a refund for the cancelled booking.
6. Permit Refusal
Protected and restricted-area permits are issued by competent authorities and cannot be guaranteed by Alpenglow Tours & Travels.
Where a permit is refused or suspended despite correct and timely documentation:
- the itinerary may be modified;
- an alternative sightseeing option may be offered where practicable; and
- any separately charged unused service will be refunded to the extent that the corresponding cost is recoverable.
7. Failure to Provide Required Documents
Where a service or permit cannot be provided because the traveller:
- supplied incorrect information;
- failed to provide required documentation;
- provided expired or invalid documents;
- submitted documents after the required deadline; or
- does not satisfy applicable government eligibility requirements,
non-recoverable costs already incurred may be deducted.
8. Weather, Road Closure and Mountain Conditions
Mountain travel may be affected by circumstances including:
- landslide;
- snowfall;
- flood;
- adverse weather;
- road damage;
- government road closure;
- Army or Police restriction;
- security conditions; or
- natural disaster.
Where a destination becomes inaccessible, Alpenglow Tours & Travels will make reasonable efforts to provide a safe and practical alternative where possible.
9. Missed Sightseeing
Refunds are not calculated by simply dividing the package cost by the number of sightseeing points.
Any refund will be based on the actual unused and recoverable cost of the affected service.
No automatic refund is due for hotel, vehicle, driver, guide or other services that continued to be supplied despite a sightseeing point becoming inaccessible.
10. Force Majeure
Events outside reasonable control may include:
- landslide;
- earthquake;
- flood;
- severe snowfall;
- natural disaster;
- epidemic or government health restriction;
- strike;
- civil disturbance;
- government order;
- security restriction;
- Army or Police restriction;
- permit suspension;
- road closure; or
- similar events outside reasonable operational control.
Where travel becomes wholly or partly impossible because of such circumstances, the booking will be reconciled on the basis of:
- services already supplied;
- costs already incurred;
- supplier amounts that are non-recoverable;
- refunds received or recoverable from suppliers; and
- unused services.
Any recoverable balance due to the customer will be refunded or, where the customer agrees, retained as travel credit.
11. No-Show
No refund is ordinarily available where a traveller:
- fails to report for the tour;
- misses the scheduled departure;
- arrives after the vehicle or group has departed;
- voluntarily leaves the tour before completion; or
- fails to use a confirmed service.
12. Unused Services
No automatic refund is available for a service voluntarily declined by the traveller during the trip.
This includes voluntarily unused:
- accommodation;
- sightseeing;
- meals;
- transfers;
- activities; or
- other confirmed services.
Where Alpenglow receives an actual supplier refund for an unused service, the corresponding recoverable amount may be passed to the customer after applicable deductions.
13. Date Change or Rescheduling
A customer’s request to change the travel date will be treated as a booking modification.
Rescheduling is subject to:
- availability;
- supplier rules;
- seasonal price differences;
- revised government charges; and
- other costs applicable to the new travel date.
The revised cost will be communicated before the change is confirmed.
14. Refund Processing
Once the refundable amount has been finalised and funds are available with Alpenglow Tours & Travels, the refund will ordinarily be initiated within 7 working days.
Where a refund depends on recovery from a hotel, transporter, airline, activity operator, payment service or another supplier, the supplier-dependent amount will be processed after reconciliation or receipt.
15. Refund Method
Refunds will ordinarily be made to:
- the original payment source; or
- the verified bank account of the original payer.
Reasonable identity or bank verification may be required to prevent fraudulent refund requests.
16. Duplicate Payment
A verified duplicate payment will be returned after payment reconciliation without applying a cancellation charge.
17. Service Deficiency
Nothing in this policy limits any statutory remedy available to a customer where a contracted service was materially misrepresented, deficient or not supplied.
